I have an employee that needs to get a corrected W4 form with his withholding changes sent to me right away in time to make the changes on his next check. He does not have easy access to a fax machine, I don't think he has access to a scanner.

I have a few other employees that have signed their forms right on the computer...I think the scanned their signature or something and create it as a signature font.

Can anyone tell me how this can be done? I would like to be able to do that for some things..not all.. but I think it would look cool. This of course won't help my guy above, since he doesn't have a scanner, but could be useful for future forms and stuff.

Any of you gurus out there understand what I am trying to ask, hahah? And can you help me? I have googled this, but I am so brain dead I really cannot figure it out.

Why not sign the sig w/the consent of the employee?

    Sincerely,

nahhhh...I think signing for him could be a slippery slope, if you will. The only person I ever sign anything for is my husband, and I don;t even do that without telling him hahah.

hmmm...thanks for the good info on that HR site...I still need to get an e signature made...I think the easiest would be what the other employees are doing that I mentioned, it is their signature....Maybe I can scan it email it to him if I can figure it out...if he emails me the form with his signature on it, as long as I have an email trail showing that it is coming form him I guess I would be okay.

Which brings me back to the question: how do I create it? Is it something I could do in Photoshop using layers? All the IRS forms I have are in PDF and I don't have the full Adobe software to create and Edit pdf files

Digital signatures isn't just a case of having a "digitised signature"

It has to be provable that you signed it. So, marking a document with a code that can only be generated from your username/password is a signature. If it is written then the strokes must be recorded so that it can be shown that you actually signed it. Attaching some information from biometric devices (eg. fingerprint) is another way.

I don't think having an image of a signature is a good idea.

Physically doing the scanning of a signature is really easy, you just scan the signature and can then save it as a font and insert it into the document before printing it. I haven't done it for a while but it's pretty easy. Is it sensible? That's up to you
